What a US pay stub typically shows

A pay stub (sometimes called a payslip) sits with a paycheck or a direct-deposit notice. It usually shows who paid, who was paid, the pay period, the pay date, gross earnings, deductions, and net pay. Many stubs also show year-to-date totals so the employee can compare the stub to a W-2 later.

Earnings might include regular hours, overtime, salary, bonus, commission, and tips. Deductions often include federal income tax, Social Security, Medicare, state income tax, local tax where it exists, health insurance, and 401(k). This generator lets you type those amounts. It does not connect to a payroll provider and it does not file Form 941 or state withholding.

FICA basics (not advice)

FICA is the combined Social Security and Medicare tax withheld from most employee wages. A common starting point is 6.2% for Social Security and 1.45% for Medicare on the employee side, with wage bases and extra Medicare tax rules that change. The fields are prefilled so you can do math quickly. Confirm current rates on IRS.gov before you rely on a number. Additional Medicare tax, Social Security wage base, and pre-tax 401(k) treatment are your responsibility.

State income tax and local tax are not the same in New York City, Austin, and a town with no local wage tax. Enter what your payroll actually withheld.

Who can use this

Small employers who need a clean stub to hand an employee, household employers, and workers who were paid but never received a stub sometimes build a record for a rental application or a personal file. If you invoice clients instead of running payroll, use the invoice generator. This page is not a substitute for a payroll service.

Hourly vs salary on a stub

Hourly stubs usually show hours and a rate so the employee can multiply. Overtime, when it applies under the Fair Labor Standards Act, is often listed on its own line. This form lets you type overtime hours and a rate; it does not decide whether overtime was legally required. Salary stubs may show one line for the period’s salary and then bonuses or commissions below.

Year-to-date columns are only as good as the numbers you type. If this is the first stub you have built in the tool, YTD might equal the current period. If you have earlier stubs, add those totals into the YTD fields. The generator does not import ADP, Gusto, QuickBooks Payroll, or any other system.

Household employers and very small businesses sometimes need a stub so an employee can rent an apartment. If you go that route, the numbers still have to match money that was actually paid and withheld. Inventing a stub is a bad idea. Use the disclaimer on the PDF, and keep employer EIN optional — only add it if you already use it on real payroll forms.
