What to include in a receipt

A receipt confirms that money was received. It is not a request for payment. Put a unique receipt number, the date money arrived, who paid, and who received it. Describe the goods, services, or invoice being settled. Show the amount, any sales tax, the method of payment, and whether the bill is paid in full.

If the customer paid by check, record the check number. If they paid by card, the last four digits are enough. Do not store full card numbers in this form. For Zelle, Venmo, PayPal, or Cash App, the method plus a short reference is usually enough for a small-business file.

Receipt vs invoice

An invoice asks for money. A receipt says thank you, we have it. Cash-and-carry sales can be a receipt only. Credit sales start with an invoice and end with a receipt or a paid stamp. See also our guide on invoice vs receipt and the estimate maker if you are still pricing the job.

Who can use this

Retail counters, service businesses that take payment on site, nonprofits recording a donation, and freelancers who just got a Zelle or check can print a receipt in the same visit. Keep a copy with your bank deposit. The customer keeps a copy for their expense report.

US tips

Sales tax is not the same in every city. Enter the rate that applied to that sale. This tool does not calculate nexus or file returns. Cash businesses should still number receipts in sequence. Partial payments should show the balance due so nobody treats a deposit as a closed invoice.

US payment methods on a receipt

Cash still needs a paper trail. Write the amount and have both sides keep a copy. Checks should show the check number so you can match the deposit. Card payments should show only the last four digits. Peer-to-peer apps (Zelle, Venmo, PayPal, Cash App) are common for US small jobs; put the method and a short confirmation note, not a screenshot dump, on the PDF.

Donation receipts for cash gifts can help a donor’s records, but this form is not a qualified 501(c)(3) acknowledgment letter. If you are a nonprofit, confirm what the IRS expects for a written acknowledgment. For business sales, keep receipts with the day’s deposit and your invoice file. Number them (RCPT-1001, RCPT-1002) so you can find one when a customer emails six months later.

Amount in words (for example, One Hundred Fifty and 00/100 Dollars) is the same style used on US checks. It makes it harder to alter a printed total. If the receipt is a partial payment, do not mark it paid in full. Show the balance due so the next invoice is not a surprise.
