What to include in an estimate or quote
A usable US estimate names who is offering the work, who it is for, and what is being priced. Put a unique number on every document so you can find it later. Date it, and say how long the price stands. If materials or travel might change, say so in the notes instead of hiding a cushion inside a single lump sum.
List each service or material on its own line: description, quantity, unit, and rate. If you charge sales tax, enter the rate that applies to the job. Sales tax in the United States is set by state and often by city or special district. This tool does not look up rates. You type the percent. A short note that tax may be adjusted at invoice time keeps the client from treating a ballpark tax line as a final bill.
Add terms that match how you actually work: when a deposit is due, what happens if the scope grows, and whether travel or permits are extra. If you want the client to sign, turn on the Accept & sign block. That is a convenience line on a PDF, not a substitute for a contract or a licensed e-signature product.
Estimates, quotes, and invoices
In everyday US small-business language, an estimate is often a range or a price that can move when the job is better understood. A quote is usually a firmer number for a defined scope. Freelancers who bill by project can send a quote, then invoice against the same line items. Property managers pricing a repair, agencies pitching a campaign, and tradespeople bidding on a house call can all use the same form. If you work across state lines, put the job address in the notes so you remember which sales tax to apply later.
US tips for estimates
Write addresses as street, city, state, and ZIP. Default the country to the United States. Use MM/DD/YYYY on the PDF. If you collect a deposit, say whether it is refundable and when the remainder is due. Many US trades ask for a deposit before ordering materials. Put that percent on the estimate so the first invoice is not a surprise.
Do not treat this PDF as legal, tax, or accounting advice. Licensing, mechanic’s liens, and consumer-estimate rules differ by state. If your state requires a written estimate for auto repair or home improvement, confirm the required fields with a local professional.
Example: Acme Landscaping LLC at 123 Main St, Austin, TX 78701 prices a spring cleanup for a homeowner. The estimate lists labor, dump fees, and plants as separate lines, adds the local sales tax percent you enter, and stays valid for 30 days. If the homeowner accepts, you collect a deposit and later send an invoice for the remainder. If they decline, you still have a numbered PDF in your records.
