What to include in a rent receipt
Tenants often need a written record for cash or app payments. A useful US rent receipt names the landlord, the tenant, the property, the period covered, the amount, the date received, and the method. If you collected a late fee or pet rent, show it as its own line so the “rent” line stays clean for the lease amount.
The PDF includes a sentence such as “Received from Jordan Lee for rent of 123 Main St, Unit 2, Austin, TX 78701 for the period 10/1/2026 to 10/31/2026.” That sentence is what many tenants want to photograph or email to a benefits office or a roommate.
Why landlords keep receipts
A numbered receipt file is easier than scrolling through bank or Venmo history in March. It also reduces arguments about whether April was paid. Some cities and states have rules about providing a receipt, especially for cash. Check your local law. This page does not replace a lease, a ledger, or tax software.
If you invoice a commercial tenant instead of collecting residential rent, the invoice generator may fit better. For a one-off payment that is not rent, use the receipt maker.
Who can use this
Individual landlords, small property managers, and tenants who want a copy to hand back for a signature can use the same form. Roommates splitting a house can issue a receipt when one person collects cash for the group — still not legal advice, just a record.
US tips
Use the state dropdown and ZIP for the property, not only the landlord’s mailing address. If you generate 12 months at once, skim each page: numbers increment and periods move month by month. Do not treat a generated stack as proof that those months were actually paid unless the money arrived.

Cash, apps, and security deposits
Cash rent is where receipts matter most. Hand the tenant a copy the same day. For Zelle or Venmo, the app history is not always easy to export a year later; a numbered PDF with the period on it is easier to file. If you collect a security deposit, put it on its own line so it is not mixed with monthly rent. Deposit handling is governed by state law — some states require interest or a separate account. This form does not manage that.
Late fees should match the lease. Do not invent a fee on the receipt that the lease does not allow. Pet rent and parking are easier to defend when they appear as labeled lines instead of a silently higher “rent” total. If the tenant paid only part of the month, show balance remaining instead of marking the month settled.
The recurring-months helper is for printing a set of templates or for months that were actually paid. Do not hand a tenant twelve signed receipts for months that have not happened. If you use it for a year of paid months, skim each page’s dates and receipt numbers before you send the file.
