How to Invoice as a Consultant

Industry Invoices — Jul 17, 2026

Consultants get paid for thinking, meetings and written advice, which can look invisible on a sloppy bill. Learning how to invoice as a consultant means turning that work into lines a client can match to a proposal. This guide covers hourly consulting, project fees and retainers, and shows how to keep the invoice short without losing the detail finance teams need.

Match the Invoice to How You Were Hired

If the contract is hourly, list dates, hours and the rate. If it is a project fee, list deliverables such as a strategy workshop, a written report or a set of interviews. If it is a retainer, invoice the period, for example "June advisory retainer", and note unused hours only if your agreement requires that.

Always copy the client name, project name and purchase order from the contract. Large companies often cannot pay a consulting invoice that is missing an internal reference. Our field guide to invoice contents lists the basics that still apply.

Useful line-item wording

  • Discovery interviews, 6 hours at the agreed rate.
  • Workshop facilitation, 18 June, half day.
  • Written recommendations and slide deck.
  • Monthly retainer, 1–30 July.

Hours, Retainers and Expenses

Hourly invoices should be specific enough that the client remembers the work, but not so granular that you bill six-minute fragments. Group related tasks. For a comparison of hourly and project billing, read hourly vs flat-rate invoicing.

Retainers are easier when you invoice on the same day each month. See how to invoice monthly retainers for a simple schedule.

Good to know: Travel, software and research purchases should appear as their own lines if the client agreed to reimburse them. Our article on adding expenses to an invoice shows a clean layout.

Send a PDF That Finance Can Process

Consultants often invoice a person who did not sit in the meetings. Put the project name in the header notes, keep the total obvious and attach a one-page PDF. You can build that PDF on our free invoice maker and keep a draft in the browser until you are ready to send.

A consulting invoice should read like a short report of value delivered, not a mysterious lump sum.

Watch out: Tax treatment of consulting fees varies by country and by whether you are on a payroll-style contract. Confirm the details locally.

Frequently Asked Questions

Do I attach timesheets?

Only if the client asked for them. Many invoices are enough with dated hour totals. Attach a timesheet as a second file when a procurement team requires it.

Can I invoice before the report is finished?

Yes, if you agreed milestones. Invoice the discovery phase when it ends, then the final report when you deliver it.

What if the client wants more meetings than the retainer covers?

Invoice the extra hours as a separate line after they approve the overrun in writing.
