How to Write an Invoice Email
The PDF does the formal work. The email does the human work. Learning how to write an invoice email means putting the invoice number, the amount and the due date in the message so the client can act without hunting. This guide gives a simple structure and a few subject lines you can copy.
A Subject Line That Can Be Searched Later
Include the word Invoice, the number and the client or project name. Examples: "Invoice INV-10421 — June retainer" or "Invoice INV-10421 from Hale Studio". Avoid "Hey" and avoid sending the file with a blank subject.
A Short Body With the Essentials
Four sentences are enough:
- Thank them for the work or the month.
- State the invoice number, amount, currency and due date.
- Say the PDF is attached and where payment details are.
- Offer a contact if something looks wrong.
Example: "Hi Sam, thank you for the June project. Please find invoice INV-10421 attached for 850.00 USD, due 15 July. Bank details are at the bottom of the PDF. Reply if you need a different format."
