How to Track Unpaid Invoices

If you cannot list what you are owed this week, unpaid invoices are running the business, not you. Learning how to track unpaid invoices does not require a large accounting suite. It requires a short, current list and a habit of updating it when you send or receive money. This guide gives you that list.

Keep One Table, Not Five Folders

Create a sheet with these columns: invoice number, client, issue date, due date, amount, status and last follow-up. Status can be Draft, Sent, Part paid, Paid or Void. Update the row the day you send the PDF and the day payment arrives. That is enough for most freelancers and small shops.

Review Weekly, Follow Up on a Schedule

Once a week, sort by due date. Anything overdue gets a reminder. Anything due in a few days can get a polite heads-up if the client is usually slow. Use the wording in payment reminder emails and the steps in the overdue follow-up timeline.

Tip: Put the invoice number in the bank payment reference so matching a payment to a row takes seconds.

Do Not Track Drafts as Money
