How to Invoice as a Coach or Tutor

Industry Invoices — Jul 31, 2026

Coaches and tutors sell time, packages and sometimes group programmes. Learning how to invoice as a coach or tutor means naming the session dates, the package and any unused sessions so the student or the company paying for them can follow the maths. This guide covers one-off lessons, prepaid packages and simple course invoices.

Invoice the Session or the Package, Not "Coaching"

A line that says only "coaching" causes follow-up emails. Write "Career coaching session, 45 minutes, 3 June" or "Maths tutoring package, 8 lessons, April". If a parent or an HR team pays, put their name in the Bill to field and the student name in the notes. That small split prevents payment going to the wrong person.

Build the document in our free invoice generator and add payment instructions under the total. For terms such as due on receipt after a lesson, see Net 15 vs Net 30 vs due on receipt.

Common coaching and tutoring lines

  • Single session with date and length.
  • Prepaid package, number of sessions remaining.
  • Group workshop, date and headcount if relevant.
  • Course access for a named student, month or term.

Packages, No-Shows and Cancellations

If you sell a package, invoice the full package when it is purchased, then keep a simple count of sessions used in your own notes. You do not need to re-invoice each lesson unless you bill per session. No-shows and late cancellations belong on the invoice only when your written policy allows that charge.

Good to know: Company-sponsored coaching often needs a purchase order and a manager's name. Ask for those before the first session. See purchase order vs invoice.

Keep the PDF Calm and Clear

Coaching invoices should feel professional, not clinical. A short thank-you in the notes is fine. Keep the total and the next due date obvious. If you invoice the same client every month, a recurring pattern helps, as described in recurring invoices.

Name the session, name who is paying and name what is left in the package. That is most of a good coaching invoice.

Watch out: Refunds, unused sessions and consumer rules differ by country. Confirm your cancellation policy locally if you sell to the public.

Frequently Asked Questions

Do I invoice before or after the lesson?

Invoice packages up front. Invoice single lessons after the session, or before it if you require payment to book the slot.

Can I invoice a company for an employee's coaching?

Yes. Bill the company, note the employee in the description and include any PO they gave you.

How do I handle a missed session?

Follow the policy you shared before booking. If you charge for it, add a line that says "Missed session" and the date.
