How to Add a Logo to an Invoice

A logo will not fix a wrong total, but it does help a client recognise who is billing them. Learning how to add a logo to an invoice is a five-minute job if the file is clean. This guide covers file type, size, placement and what to do if you do not have a designed mark yet.

Prepare a Simple Image File

Use a PNG or JPG. PNG is better if you want a transparent background. Keep the file under 2MB. A wide logo that is already cropped, not a photo of a business card, will look sharp on the PDF. Avoid tiny icons that become a blur when printed.

Quick checks before you upload

  • The logo is readable at about the width of a business-card mark.
  • There is no huge empty canvas around the mark.
  • The colour still works on a white invoice.
  • You are allowed to use the file, because it is your mark.

Place It, Then Match the Colour

Most invoice templates put the logo at the top with the word Invoice. That is enough. Do not also stamp the logo on every line. Pick an accent colour that matches the mark so the header, table bar and total feel like one document. Our templates let you click a colour or enter a custom one.

Tip: If you do not have a logo, use a clear business name in the From field. A stretched clip-art icon looks worse than no logo.

Download and Check the PDF

Logos sometimes look fine on screen and weak in the PDF. Download a test invoice and zoom in. If the mark is fuzzy, upload a larger source file. Then send the real invoice. For the rest of the pre-send pass, use the invoice checklist.

A logo should identify you in one glance. If it fights the numbers, it is too loud.
